Regulations visitors of the show BE OPTIC 2025
Sunday 12th January 2025 – The EGG (Event Center)
General provisions
1.1. The BE OPTIC 2025 fair is organized by the company SELLING CONCEPT SRL registered at the Carrefour Business Bank under number (0797 980 594) and whose registered office is located at 25, avenue Paul Henri Spaak 1060 Brussels - Belgium (ci -after, designated "the Organizer"). Company registered for Belgian VAT under the number (BE0797 980 594).
1.2. The event is being held at The EGG (Event Center) - 1070 Anderlecht - Belgium on Sunday 12th January 2025 from 9 am to 6 pm.
1.3. Application of these provisions.
The provisions listed in this document apply unreservedly to all visitors.
1.4. Price and registration.
Admission is free for visitors but these must be from the optics sector.
The visitor must register on the www.beoptic.be website either as an optician, as a supplier in the optics sector, or as a student in optics / optometry. When registering online, the visitor will receive personalized access badges.
Each badge is provided with a QR code allowing access to the event to a single visitor, valid for the single day of the event. In case of loss, theft or duplication of a valid ticket, only the first person holding the ticket will be able to access the event. The buyer remains responsible for the use made of the badges. An identity document may be requested. The personalized access ticket must correspond to the identity and function of the person wearing it.
1.5. The exhibitors of the event are exclusively professionals in the Optics sector. The event offers them a space to present their products, services and their know-how.
1.6. The visitors declare to have read and accepted without restriction or reserve, the present regulation at the time of their application for inscription on line on: www.beoptic.be (via the site of ticketing Yurplan)
For visitors without pre-registrations for the event, these rules will be available at the reception for consultation. They undertake to respect all the provisions of the rules from the moment they have acceded to the event.
2. Application for registration
2.1. Visitors wishing to participate in the event must fill in the information requested on the online registration form available on: www.beoptic.be
The visitor declares to provide accurate, complete and current information. In the event of a breach of the previous point, the Organizer may ask the visitor to leave the show. The visitor must read and agree to these conditions to finalize his application for registration.
2.2. The visitor access titles (badges) are nominative, they can not in any way be reproduced, sold, lent or transferred. The badge is mandatory for visitors on the day of the event.
2.3. The organizer will not provide any letter of invitation or visa application for visitors.
3. Conditions of exclusion
3.1. The Organizer reserves the right to exclude during the event, a visitor who does not respect the conditions provided by the regulations, or whose behavior would be likely to disturb the smooth running of the event.
3.2. Advertising and promotion on the show
All forms of advertising inside and in the immediate vicinity of the event are prohibited except with express agreement of the organizer. In case of non-compliance the Organizer may ask the visitor to leave the show and this in a final way.
Visitors are not allowed to solicit exhibitors / speakers for the purposes of organizing another show or for any other purpose except with the express agreement of the organizer.
4. Access to the event
Access to the event is exclusively reserved for professional natural persons possessing a registered name of visitor access (badge) pre-printed on the Internet or to all persons presenting themselves at the reception on the day of the event and requesting to register (a business card will be requested).
In order to maintain the security of the event, the Organizer or its delegates reserve the right to check the age of those in possession of an access ticket, it being specified that only adults can access the exhibitions.
The Organizer reserves the right to temporarily or definitively refuse access to the event or to expel from the event the person or persons whose presence or behavior is likely to compromise the security, image or smooth running of the event.
4.1. Covid19
Both visitors and exhibitors and all other persons present in the enclosure of the building housing the BE OPTIC 2025 exhibition must comply with the rules and provisions in force at the time of the event with regard to the Covid19 epidemic and the measures health requirements imposed by the competent authorities. Anyone refusing to comply with the required rules and provisions will be expelled from the field of the building and legal proceedings may be brought against them.
5. Intellectual property
5.1. The visitor acknowledges that this is a professional event accessible only on reservation / registration.
5.2. The visitor accepts that the Organizer realizes and distributes photos, films, photographs, images, photographs, visuals, interviews, texts representing him, on any support during and after the event on his website and on communication media. By participating in the event, the visitor gives up his / her unlimited rights of use of publication on various channels of diffusion and distribution of photos and audio / video recordings made on the spot by a mandated service provider.
Except in the case of special agreement between the visitor and the Organizer, the visitor undertakes not to dispute the dissemination of the content stated above, nor to demand the payment of damages or compensation for any reason whatsoever. this is particularly under the right to the image. The visitor acknowledges that the Organizer is the sole owner of the intellectual property rights on the films, photographs, images, photographs, visuals, interviews, texts broadcast by the Organizer. As such, the visitor acknowledges that the choice of the content broadcast exclusively belongs to the Organizer.
5.3. The visitor who wishes to make or have shots, images, films, snapshots must request a prior authorization to the Organizer for dissemination to the public. The Organizer reserves the right to prohibit shooting, images, films, photos by unauthorized persons. In the absence of a request for authorization, any photographic or video report made by a visitor at the show and published retrospectively online may be freely reused by the organizer.
6. Computers and freedoms. Personal and professional data collected during visitor registration
The visitor explicitly agrees that the personal information collected by the Organizer on the website www.beoptic.be or at the reception of the show is subject to a computer processing intended to allow the complete organization of the event and will be given to some exhibitors / speakers at the end of the show. That all visitor data collected (identity, company email, address ...) may be used by SELLING CONCEPT SRL or partners or exhibitors in the context of the promotion of other events or sales of products or services.
The visitor acknowledges and expressly and unreservedly agrees that his personal data may be transferred and processed commercially.
6.2 GRPD / Processing, transfer and access to your data
In accordance with the laws on the protection of personal and professional data, you will find below the charter which sets out the commitments of SELLING CONCEPT SRL for the protection of the personal data of the Net surfers visiting this site or all the sites of the events organized by SELLING CONCEPT SRL and the visitors of the organized events of SELLING CONCEPT SRL. It also informs you of the procedures for collecting and using your personal and professional data and the options you have in this regard.
This charter may be modified at any time by SELLING CONCEPT SRL in order to comply with all regulatory, jurisprudential, editorial and / or technical changes.

Important note on the transmission of data to third parties

7. Security rules
The visitor must respect the security measures taken by the Organizer and imposed by the regulations. The visitor undertakes not to create crowds in the aisles of the event and not to create a situation likely to create a danger for other exhibitors and visitors. As a reminder, smoking is prohibited throughout The EGG (Event Center).
8. Liability
8.1. The Organizer can not in any way be responsible for the behavior or behavior of visitors, as well as any damage occurring outside the event in which they participated (including in other areas of The EGG (Event Center), including the car park )
8.2. Visitors are liable for any damage they cause to the products, objects, materials of the exhibitors, particularly in case of fire, theft, loss or other damage, including in case of fortuitous event or force majeure. The Organizer can not be held responsible for the loss, theft or damage to the visitor's property.
8.3. The Organizer can not be held responsible for direct or indirect damages suffered by the visitor in any way whatsoever.
8.4. Visitors state that they are aware of the risks associated with the consumption of alcoholic beverages and agree to moderate consumption in and around the show, particularly in restaurants and drinking places, and to bear all the consequences on the day of the event. or the following days.
8.5. It is forbidden to damage spaces, decorations, materials and premises. Any deterioration or damage caused by a visitor to the exhibitor, his staff, his goods, the Organizer, his equipment, will be charged to the responsible visitor.
8.6. The cloakroom is managed by the Organizer, but it can not be held responsible for any event related to this space made available free of charge. The visitor must not leave objects or valuables in the cloakroom. The Organizer can not be held responsible for any theft. In case of forgetfulness of clothes objects ..., the visitor must contact the Organizer directly within a maximum of 7 working days after the end of the show.
9. Cancellation, postponement and modification of schedules
In case of war, force majeure, fire, epidemics, an administrative decision or risk of disturbance of public order or the smooth running of the event, the Organizer may decide to cancel to all moment the holding of the Salon. In general, for whatever reason the cancellation or postponement of the event, visitors will not be entitled to any compensation for damages or reimbursement of any expense.
10. Applicable law
The applicable law is the Belgian law. In case of complaint, the visitor agrees to inform the Organizer by registered letter with acknowledgment of receipt within a maximum of 5 working days after the end of the event. In case of dispute, the courts of Brussels shall have sole jurisdiction.
